Wage Tracking Is Live in Craft Connect

Wage progression tracking is one of the most common reporting requirements for registered apprenticeship programs. Until now, most programs were managing it in spreadsheets. That changes today. We've released Wage Tracking in Craft Connect, giving learners and administrators a single place to log, view, and manage wage history over the life of a program. No exports, no manual reconciliation, no separate file to maintain.

What You Can Do With It

Wage Tracking is built for two different users, and both have what they need from day one.

Learners can log their own current wage directly from their profile in about 30 seconds. They select the employer, choose the program, enter the rate and effective date, and they're done.

Admins (whether you're a sponsor admin, EP admin, or employer admin) can record wage entries on behalf of any learner. You can also edit existing entries, delete erroneous ones, and view a full wage history with timestamps showing who entered each record and when.

That audit trail matters. For DOL-reporting programs, wage progression data needs to be accurate and traceable. Having a timestamped log of every entry, including who made it, gives your program a defensible record when it's time to report.

Three Things to Have in Place Before You Start

Before anyone can log a wage entry, three conditions need to be met:

  1. Your sponsor must have at least one employer and one education provider connected.
  2. The learner must be enrolled in an active program.
  3. The learner must be connected to at least one employer.

If all three are in place, the Wages tab will be available on the learner's profile for both the learner and any admin to access. If a learner doesn't see the tab yet, check those connections first; that's the most common reason it won't appear.

What to Record and What to Leave Out

When logging a wage entry, you'll enter the rate (hourly, daily, weekly, or annually), the effective date, the employer, the program, and an optional reason for the change. The effective date can be predated, so if a raise went into effect two weeks ago, you can log it accurately.

One important note: wages should reflect base pay only. Do not include bonuses, overtime, or shift differentials. This is especially relevant for healthcare programs where shift differentials are common: a learner working nights may earn significantly more per hour than their base rate, but that's not the number to record here. We're tracking base wage progression over the life of the program, not total compensation.

Getting this right from the start keeps your reporting clean and your data consistent when it's time to submit.

Admin Controls: Editing, Deleting, and Validating Entries

Learner self-logging is a useful feature, but it introduces the possibility of data entry errors. Admins have full edit and delete access to every entry in a learner's wage history. If a wage was entered with the wrong figure, the wrong effective date, or logged in error, any admin can correct or remove it.

We'd encourage program admin teams to build a light validation step into their workflows, especially in the early weeks as learners get familiar with the feature. A quick review pass before a reporting period will keep your data accurate and audit-ready.
